Hiring: Administrative Assistant

Live & Learn, Inc. is hiring an Administrative Assistant to provide support for this small, growing company. We are looking for someone who wants to use their organizational skills, attention to detail, and passion for social justice to assist Live & Learn, Inc. staff to make sure the organization is running smoothly and achieving our mission for seeking out high-influence opportunities that redefine the status quo in behavioral health services and policy.

Live & Learn specializes in the inclusion in our projects of those who have personally struggled with their mental health and our staff represent this perspective as well. Live & Learn generates revenue from research and development grants, technical assistance contracts, and consulting. See a list of current and past projects.

The Administrative Assistant will work remotely for between 30-40 hours per week and will be compensated hourly. Live & Learn, Inc. offers benefits such as a home office stipend, health premium reimbursement, retirement, paid time off, and a flexible schedule.

MAJOR DUTIES:

Administrative/Financial

  • Under supervision of the CEO, ensure the business is in good standing, for example maintaining licenses, registrations, passwords, subscriptions, etc. are up-to-date and in compliance with state and federal law.

  • Provide administrative support for meetings with staff, clients, and partners (e.g. scheduling, note-taking).

  • Run errands, virtually and/or in person.

  • Aid in review of new technology solutions and software licensing.

  • Support grants and contract administration under supervision of the Business Administrator.

  • Work with the Business Administrator to process semi-monthly payroll

Development/Marketing

  • Work with other team members to coordinate and submit grant applications.

  • Maintain website content using SquareSpace and Wordpress, and prepare newsletters/social media posts

  • Participate in organizational improvement, including developing personnel policies, financial management strategies, and identifying areas for growth.

Research

  • Research-related support, including preparing reports and presentations, data entry, working with academic citations.

  • Assist with participant recruitment and data collection.

REQUIRED:

  • Residing and working in California.

  • Meet deadlines, communicate challenges, attend meetings to collectively advance project objectives.

  • Proficient in Microsoft Office (Word, Excel, Power Point).

  • Knowledgeable of payroll practice and labor laws.

  • Ability to get along with others who have different perspectives and sources of knowledge.

  • Motivated by deadlines and opportunities to problem-solve.

PREFERRED:

  • History of a disability and/or personal experience with mental health services is an asset.

  • Ability to contribute to organizational development based on knowledge of the experiences of diverse racial/ethnic, cultural, and gender identities.

  • Living in San Luis Obispo County, or elsewhere near the Central Coast of California.

  • Associate’s or Bachelor’s degree in business, communications, or public administration.

  • Commitment to honest, direct communication, and public service.
